The choreography committee (ChoCo) is responsible for:

  1. The decoration of the concerts:
    • Forming a lighting plan
    • Determining the use of props and ensuring they are brought to the concerts
    • Determining the stage positions
  2. The positions of the choir during the concerts and any choreography to be performed
    • Determining the choreography in advance. This is to be discussed with the board and the conductor, together with the amount of time to be spent on choreography during rehearsals.
    • Leading the choreography rehearsals
  3. Clothing and make-up
    • Determining the clothing to be worn by the choir during the concerts
    • Responsible for the Musilon-shirts: ensuring they are clean and brought to the concerts.
    • Determining the use of special make-up (to be announced during the dress rehearsal at the latest)

The ComMUScie is responsible for making and distributing Musilon’s newspaper, the “MUS”. A new edition of the newspaper is distributed regularly, both digitally as in print during the rehearsals.

The conductor committee (ConCie) assists the board in evaluating the conductor. This consists of making the evaluation and discussing the results with the board. The conductor committee also assists in discussions between the board and the conductor. If necessary, the conductor committee also assists the board in finding and hiring a new conductor.

The Articles of Association define the auditing committee as follows:

  • The General Assembly elects an auditing committee annually, consisting of two members that are not part of the board.
  • The members step down annually and can be reinstated twice consecutively.
  • The auditing committee shall audit the statement of accounts by the board and report its findings to the General Assembly.

The auditing committee will schedule an appointment with the treasurer at the end of every fiscal year. During this meeting, the statement of accounts and the balance on the bank account and in the treasury will be checked and verified. In addition, the auditing committee checks for mistakes or fraud in the statement of accounts. The auditing committee then proceeds to make a report to be presented to the General Assembly in which the financial report is presented for approval. The General Assembly will have the opportunity to react to the report and will keep it in consideration when voting for the approval of the financial report.

As an association it is important to look to the future and imagine where you want to be in 5 years, not only financially but also in terms of the number of members, activities and performances, the quality of rehearsals and the performances. This is just the tip of the iceberg if it comes to subjects to talk about for a Long Term plan. As a committee, you form the voice of the choir and with the long-term plan, you create guidance for the upcoming boards on where Musilon should be headed in the future.

The RepChoCo is a small group of representatives from the RepCo and the Choco.
Together they work out all the ideas for the bigger summer concerts with things like coming up with a coherent story, acting this out and finding songs to fit this.

 

The repertoire committee (RepCo) has three main functions: To manage the sheet music of Musilon, to select music for the concerts, and to provide rehearsal material. These three tasks can be performed by different members of the committee, independent of each other.

The repertoire committee falls under the responsibility of the repertoire commissioner in the board. The repertoire committee is established to relieve the repertoire commissioner of some of their tasks so that they can focus on their other tasks (especially in a board consisting of three or four people, the repertoire commissioner often has a different function, oftentimes chairman).

Management of sheet music

The repertoire committee is responsible for the management of the sheet music of Musilon. The sheet music is stored partly in the archives, and partly in the rehearsal folders. For optimal functioning of this part of the repertoire committee, assigning two people to this task is ideal (this is useful for carrying out bigger tasks together or to ‘cover’ for the absence of the other).

  1. Distribute and collect rehearsal folders at the start and end of the rehearsal.
  2. Keep the sheet music archives up to date.
  3. Keep the contents of the rehearsal folders up to date.
  4. Ensure the availability of enough rehearsal folders.

Selecting music for the concerts

The repertoire committee represents the choir by selecting music to be performed. The repertoire should not be formed by only the conductor. The members of the choir should have a say in this as well. This is done through the repertoire committee. This part of the repertoire committee can also be assigned to two people. This allows for discussion and ensures that the wishes of the choir are not represented by one member. If only one member of the repertoire committee is assigned this task, the repertoire commissioner can join the discussion of selecting music.

The website committee (WebCie) is tasked with maintaining the website of Musilon (www.musilon.utwente.nl) and improving its content and functionality. The committee is split into two parts: The technical WebCie and the web editorial team.

Technical WebCie

The website of Musilon runs on a Content Management System (CMS), which allows for separation between member and non-member sections of the website, and for (non-technical) members to post new content. This content consists – among other things – of informative pages, events, news and forums. The technical WebCie is tasked with keeping the CMS up to date (installing patches) and integrating new requirements (such as installing modules with improved functionalities). Furthermore, they are responsible for administering special access rights (for instance for the board or the lustrum committee). If necessary, old content will be archived. In short, the technical WebCie manage the technical structure behind the website.

In addition to this, the technical WebCie manages the general WESP-account of Musilon (WESP is a project from SNT, which provides associations with a website, email and storage systems), which means they can also provide committees with aliases.

Web editorial team

As previously mentioned, the board makes regular content updates to the website. The board also has the rights to add new users to the website (The WebCie ensures that manuals for such tasks are available). The web editorial team is responsible for bigger, non-regular maintenance of the content of the website. The web editorial team provides the website with new informative pages and pictures and ensures that the website as a whole is well structured and accessible for all target groups. In addition, the web editorial team also keeps an eye on the website and notifies the board of certain things if necessary.

The RvA is the advisory council for the board of Musilon. They give the board advice and make sure the board doesn’t make any decisions that haven’t been thought out. During the GMM’s the RvA will also advise the members whether or not to accept certain board changes.
